Scheduling Appointments / Events

You can schedule an Appointment from within any of the 4 Calendar Views. Simply point to the date you would like to schedule and double-click. The following window will open:

Keep the Subject short and to the point. You may put detailed information in the box that I have highlighted in red.
Location is not necessary, but may be helpful if you will have trouble remembering where this appointment will occur (Conference Room D, Atlanta, etc.).
Start Date & Time and End Date & Time may be filled in by clicking the drop-down arrows and then navigating to the desired setting.
Outlook is set to send you a Reminder 15 minutes before the event. You may uncheck the Reminder box if you don't want one, or you can click the drop-down arrow next to 15 minutes and have the Reminder sent earlier.
Show time as: has 4 options available: Free, Tentative, Busy, or Out of Office. It is important to know that, for the purpose of using Outlook to schedule meetings, Free is the only option that leaves you available to be scheduled in a meeting. The other options will all make you unavailable for meetings.
Clicking on the All day event box will remove the Start & End times and change the dialog box from an Appointment to an Event.
Categories may be assigned with the button on the bottom line.
Private can be checked if you have delegated someone to have access to your Calendar. Unless you specifically designated them to be able to view your Private items, they will only know if you are Free or Busy.

Note: It is only necessary to give someone access to your calendar if they need to be able to update it for you. For the purpose of scheduling you for meetings, Exchange Server simply tracks your Free time.
