Using Delegates and Assigning Permissions

Being a very busy individual, you might not be around to tell your peers and students what you are doing. Appointing someone in your group to be your delegate and allowing others to see the items on your calendar can greatly increase the functionality of your schedule while you are away. The delegate may respond to or send mail on your behalf, and by setting permissions, they may edit your calendar and view it. Permissions will also enable access to the other features of your mailbox if you want them to. It is like turning your schedule on autopilot, so choose your delegates carefully!

To Appoint Delegates

  1. From the Tools menu click Options select the Delegates tab.
  2. Click Add and select your delegate from the list by double clicking on their name and clicking OK.
  3. You are presented with the permissions dialog where the delegate can be given no permission, review, author, and editor. These permissions all viewing, viewing and creation, and full editing respectively.
  4. Select the check box at the bottom to notify the user of their rights as a delegate and if you want them to be able to see items marked private, select the check box beside that option as well.
  5. Click OK to return to the Options dialog. You may repeat the process to add more delegates.
  6. You may edit delegate permissions by selecting the user from the list and clicking the Permissions button.
  7. Select the check box for Send meeting requests and responses to my delegates, not to me to have an assistant handle all the meeting bookings.
  8. Click OK to close the Options dialog.
