Overview

I think it's safe to say that Outlook Notes are one of Outlook's most under-used features. When properly used, Notes can be extremely useful, and they have the added advantage of being the easiest-to-use Outlook item.

Purpose

Notes are meant to be used as temporary storage items. When you are in the midst of a phone conversation and need to scribble down a note related to the conversation, try opening a Note instead.

Creating & Using Notes

  1. Navigate to the Notes folder.
  2. Double-Click anywhere in the Notes window to open a new note.
  3. Type in your information.
  4. You may change the size of the Note by the sizing handle in the bottom right corner.
  5. Click the note icon in the upper-left corner of the Note window to change its color or select Categories to assign to it.
  6. Drag it to your Desktop if you want to keep it readily accessible (you may have to "restore" Outlook so that it doesn't completely cover your Desktop in order to do this).
  7. Click the Close icon in the upper-right corner of the Note to save and close it.

Note: When a Note is closed, the date & time at the bottom of the Note are updated to the current date & time and the Note is saved automatically.

Power Tip

A Note can be combined with any of the other Outlook items by simply dragging it to the appropriate folder. Dropping it on the Inbox will create an email message with the Note in the text area. Dropping it on the Task folder will create a new Task with the Note in the text area. If you want to add the Note to a particular Task, Contact, Calendar item, or email message, use a standard Copy & Paste to paste it into the text area.
