Using Tasks

Tasks are things that need to be done. The tracking of these to-do items is very important. Outlook provides an excellent means to track tasks by completion percentage and by assignee. Tasks can be assigned to others, and they can also be made to reoccur automatically for projects that come due on a regular basis

To Create a Task

  1. Click the Tasks button on the Views bar (the TaskPad is also available from some Calendar views).
  2. Click the New Task button on the toolbar.
  3. Type in the subject of the task and press Enter.
  4. Tasks do not have to have a due date, but you may insert one if desired. Double-click on the Task and you will see the following dialog box:

Notice that you may set wide variety of items relevant to your Task if desired. All of these are optional.

Making a Task Recurring

If you have a Task that recurs on a regular basis, making it Recurring will cause a new Task to be created with a newly defined  due date each time you complete the current Task.

Click on the Recurrence... button, and you will see the following dialog:

After selecting whether the task recurs on a Daily, Weekly, Monthly, or Yearly basis, the dialog changes to reflect your selection.  Then you will be able to define how far into the future you want the Task to recur by using the "Range of recurrence" dialog.

Assigning a Task to someone else

  1. Click the Assign Task button on the toolbar and you will see the following dialog:

  1. You may now assign the Task by addressing it the same way you would address email.
  2. Click Send and respond OK to the information dialog that lets you know it is turning off your reminder.
  3. The person you assign it to will receive an email with all of the Task information on it that includes and Accept and a Decline button on it. They need only to click either of the buttons in order to generate an email response back to you.
  4. Notice the task appears in your task list, but there is a hand under the check box indicating an assigned task.
